Billing and Invoices
Where invoices live
Every invoice for your organization — past and current — is available under Organization Settings → Billing. Each row shows the invoice number, date, amount, and status, plus a one-click download to a Stripe-generated PDF for your records. Receipts are also emailed to your billing contact the moment they're paid.
Update billing details
From the same Billing tab you can update:
- Billing name — the company name printed on the invoice
- Billing email — defaults to the owner; can be delegated to a finance teammate via the Billing role
- Tax ID / VAT number — shown on the invoice for compliance in jurisdictions that require it
- Purchase order number — added to every invoice so AP teams can match against their PO system
- Payment method — credit/debit card, ACH for US customers; managed via the Stripe-hosted portal
Receipts vs. invoices
Kuality bills on a subscription model, so every billing cycle produces an invoice up-front and a receipt after successful payment. Top-up credit packs generate a one-time invoice + receipt the moment they're purchased.
Failed payments
If a charge fails, Stripe automatically retries on a smart schedule (3 attempts over 14 days). Your org owner gets an email after the first failure with a one-click link to update the payment method. Scans continue to run during the retry window; the org only goes into a soft-paused state if all retries fail.
